The Secretary is a detail-oriented and collaborative team member who plays a vital role in ensuring smooth communication, accurate recordkeeping, and organizational transparency for the Delmarva Destroyers. This individual supports the Board of Directors by documenting meetings, maintaining records, and keeping players, families, and coaches informed through timely communication.

The Secretary directly contributes to this mission by fostering accountability, organization, and effective communication that strengthen the entire program.
Key Responsibilities
- Prepare agendas in collaboration with the Board and distribute prior to meetings.
- Record, maintain, and distribute accurate minutes of board meetings within seven days.
- Maintain official files, bylaws, policies, and organizational documents, ensuring accessibility.
- Track motions, decisions, and action items for board accountability.
- Serve as a contact for official communications and announcements.
- Draft and distribute updates, reminders, and event details to families, coaches, and volunteers.
- Maintain email distribution lists and other communication tools.
- Keep player registration records updated in coordination with team managers.
- Track volunteer clearances, waivers, and required compliance documents.
- Assist with scheduling board meetings and organizational events.
- Archive sponsorship, fundraising, and partnership correspondence.
- Collaborate with the Board on documentation for reports or compliance needs.
- Support communication and coordination during tournaments, tryouts, fundraisers, and team celebrations.
Skills & Qualifications
- Strong organizational and recordkeeping abilities.
- Excellent written and verbal communication skills.
- Proficient in email, Microsoft Office/Google Workspace, and shared online platforms.
- Dependable, detail-oriented, and responsive to deadlines.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Prior volunteer, nonprofit, or youth sports administration experience preferred but not required.
- Passion for youth sports and supporting a positive culture for athletes and families.
Time Commitment
- Attend all board meetings (typically monthly or as scheduled).
- Provide meeting minutes within 7 days of each meeting.
- Manage communications and documentation on an ongoing basis (approx. 4–6 hours/month, with additional time during tournament and event periods).
